📄 Time Off Rules and Guidelines
The goal of these time-off rules and guidelines is to make taking time off more structured and efficient while ensuring minimal disruption to ongoing work.

1. Recommended Annual Paid Leave
- It is strongly recommended to take at least 25 days of leave per year, including public holidays, personal leave, and sick leave.
- More days will be available upon request from the technical management team.
- The points above and paid leaves in general do not apply to members contributing on an hourly basis (including the monitoring team, VL personnel, and possibly others). These members are still requested to follow the guidelines below before taking time off.
2. Guidelines for Taking Time Off
When taking time off
Team members are strongly encouraged to:
- Take at least half a day rather than an hour or two, for example, to reduce the complexity of scheduling
- Give a minimum notice to help identify and resolve conflicts early
- 2 weeks' notice if you plan to be off for 1 to 2 weeks, unless it is for sick leave
- 1 month notice if you plan to be off for more than 2 weeks, unless it is for sick leave.
- Document ongoing work, project statuses, and any critical information by creating an issue using the work-handover-before-time-off issue template and following the included steps.
- Designate a point of contact in case of critical issues during your absence
- Fill the time-off spreadsheet. In case of sick leave, please update the spreadsheet when you get back.
- Inform teammates during weekly calls to increase visibility
After time off is requested
The following points must be covered:
- Define how the team will handle the workload during absences
- Ensure that ongoing work, project statuses, and any critical information are documented.
- Ensure that there is a designated point of contact in case of critical issues during someone's absence
- Suggest alternative dates if there are conflicts or define a strategy to cope
